Driver run sheets and proof of delivery
A run sheet is the driver's list for one trip. It names each stop, the order to visit them in, and what to know at each door. Proof of delivery is the record that the flowers arrived, such as a signature or a photo.
From orders to a run sheet
The list starts with the orders already saved. In one florist program, a new delivery order is marked Pending Delivery or New. It then appears in dispatch for its delivery date.1 Dispatch is the list of orders due out that day.
Each order has a field for driver instructions, which the form says to fill in if necessary.1 The help page also has a Print Ticket box that prints the order ticket when the order is created.1 It doesn't describe a run sheet, so how those notes reach the driver depends on your program and your shop.
Putting stops in order
Route order is the sequence of stops. Whether your program helps set it, or you do it by hand, depends on the program and your shop.
A sheet sorted by route still needs a human look. Time windows set at order entry, such as before noon, can pull one stop ahead of the order that is shortest on the map. The zones page explains how those are set.
Proof of delivery
Two terms need splitting apart. A delivery confirmation is a message the shop sends to say the order was delivered. Proof of delivery is the evidence behind it.
One large florist network draws the same line in guidance written for its own member orders. Sending a confirmation, it says, isn't considered proof of delivery.2 It names these kinds of proof:
- A signature from the recipient.
- A photo of an arrangement left on a porch, accepted in place of a signature.2
- A delivery log with the order number, date, time and a valid signature for each order.2
Its guidance adds that a house number in the photo is preferred if possible.2 Rules like these belong to that network. Your own shop, and any network you join, may ask for something else.
When to send the confirmation
Timing is the common error. The network says to submit the confirmation at the actual time of delivery.2 Sending a confirmation immediately emails the customer to say their purchase was received, so an early one sends a false message.2
Its guidance says not to send them when the driver leaves, and not in a batch at the shop unless every order is already delivered.2
Shops without an app can still follow this. The network suggests the driver check in as orders are delivered, and someone at the shop sends each confirmation.2
Nobody home
Sometimes the recipient is out. The network suggests a door tag and a new delivery time.2 It also says one thing about the app. If the recipient is not home and the arrangement is not left outside, the driver should note the attempt (or ask for more information) there immediately. It says not to leave arrangements outside in excessive weather, cold or heat.2
Whatever program you use, give the driver a way to mark a failed attempt. Otherwise a failed try can go unrecorded.
